Use a readable Google Sheet as the source for selected point values.
Steps
- Prepare a sheet with a header row and a stable, unique non-empty lot ID for every row.
- Make the sheet publicly readable using a published link or Anyone with the link viewer access; do not include confidential data.
- Choose Connect Google Sheet and paste the link into Paste your Published to Web Google Sheet here. Set worksheet gid and header row. How it works beside Close opens the help centre.
- Choose Read sheet and map columns.
- Map Unique Lot ID, Name and other supported fields, including numeric Depth and custom text columns. Depth must contain valid numeric values.
- Match sheet status values to Prevue statuses and choose Connect and import rows.
Expected result
With name matching off, new sheet IDs create linked unplaced Availability records and existing manual records remain separate. With name matching enabled, uniquely matched existing points become linked records and retain their placements and images.
Tips and limits
Unlike new Excel rows, Google Sheets rows require persistent IDs. A private or unreadable sheet will fail. Image lists, icons, packages and map placements stay in Prevue. Fix formula errors in the source sheet. Name matching is optional and off by default. It is available when connecting a disconnected sheet.
Reconnect without creating duplicate points
- After mapping the sheet columns, enable Match existing points by name.
- Choose Review matches to see updated, new and unchanged point counts.
- Resolve any flagged names, then review again. Duplicate names in either source, points in the bin, information points or already-linked points prevent connection. Capitalisation and surrounding spaces are ignored.
- Confirm that mapped fields may be overwritten, including blank sheet values, then choose Confirm & connect sheet.
- Check the existing points and their placements. Names without a match create new unplaced points; existing points absent from the sheet remain unchanged.
- Future refreshes use the sheet's unique Lot ID, so keep those IDs stable. If the sheet or point data changes after review, review again before confirming.
Disconnecting retains rows, data and placements as manual points; hidden rows stay in the bin. Reconnecting with matching off can create duplicates. Matching preserves existing point IDs, images, icons, packages and geometry links.
Effect on the published viewer
Linked values on already published placements update live. New placements still need publishing.
